Order Processing & General Administration Assistant

We are seeking a highly organised, observant, and proactive individual to join our family-run business as an Order Processing & General Administration Assistant. This role involves processing customer orders, providing administrative support, maintaining accurate financial records, and assisting with general office duties to support the smooth day-to-day operations.
Day-to-day of the role:
• Order Processing:
• Process customer orders accurately and efficiently.
• Prepare invoices, delivery notes, purchase orders, and customer installation packs.
• Coordinate with customers, suppliers, and the warehouse regarding order status.
• Track and monitor orders from receipt through to delivery.
• Resolve order discrepancies and customer queries promptly.
• Maintain accurate customer and product records.
• General Administration:
• Answer telephone calls and respond to emails professionally.
• Maintain filing systems and office records.
• Schedule appointments with customers.
• Prepare reports, correspondence, and other documentation.
• Provide administrative support to management and other departments.
• Assist with maintaining company CRM system and records.
• Accounts:
• Raise sales invoices and process purchase invoices.
• Record receipts, payments, and banking transactions.
• Reconcile supplier and customer accounts.
• Assist with chasing customers for outstanding invoices.
Required Skills & Qualifications:
• Previous experience in order processing and administration
• Good understanding of bookkeeping principles.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• Experience with accounting software (e.g., Sage, Xero).
• Excellent organisational and time management skills.
• Strong attention to detail and accuracy.
• Good communication and customer service skills.
• Ability to prioritise workload and work independently.
• GCSEs (or equivalent) including Maths and English.
• Previous office administration experience preferred.
