Time Recruitment is proud to be recruiting on behalf of a leading property and facilities management organisation, seeking a meticulous and proactive Contracts Administrator to join their expanding team. This is an excellent opportunity for someone with strong administrative capability, confidence in managing high volumes of data, and a keen eye for detail.
The Role
You will support the Facilities Managers with all administrative aspects of over 2,500 maintenance contracts across a large commercial property portfolio. Acting as the first point of contact for all contract-related queries, you will play a vital role in ensuring compliance, accuracy, and smooth operational delivery.
Key responsibilities include:
• Managing existing maintenance contracts and assisting in drafting new agreements.
• Handling queries relating to asset/plant lists, labour rates, specifications, cost changes, and invoices.
• Ensuring all maintenance contracts meet required Health & Safety compliance standards.
• Liaising directly with contractors to clarify specifications, resolve queries, and maintain accurate documentation.
• Supporting the Helpdesk team when required, including raising and logging jobs with contractors or maintenance operatives.
• Conducting audits of contractor specifications, charges, and documentation.
• Working closely with the Finance department to resolve cost and charge-related queries.
• Producing correspondence, reports, and maintaining accurate records using Microsoft 365.
About You
To succeed in this role, you will bring:
• Strong administrative experience, ideally within facilities, property, or contract management.
• Excellent attention to detail and organisational skills.
• Confidence liaising with contractors and internal teams.
• Solid working knowledge of Microsoft 365.
• Basic accounting understanding.
• A proactive, solutions-focused approach.
