Job Summary
This is a key
operational role, ideally suited to someone with strong primary care or NHS
administration & management experience who is ready to take on greater
responsibility.
The post holder
will
Support
the Practice Manager in all aspects of practice functionality, optimising
efficiency and overall performance.
Support
the Practice Manager and Partners with CQC to ensure the practices remains
compliant with regulations and relevant NHS standards
Help
ensure the practice achieves its long-term strategic objectives within a safe
and effective working environment.
Assist
in managing and coordinating all aspects of operational delivery, including
staff, patient services, premises, and health and safety.
Support
leadership in promoting equality, diversity and inclusion (ED&I), safety,
health, environment and fire (SHEF), quality improvement, and a culture of
continuous learning.
Work
with the Office Manager and the PPG to understand the needs of the patients and
implement changes as needed.
Main Duties
and Responsibilities
Support
the Practice Manager with day-to-day operations, ensuring the smooth running of
reception, administrative, and back-office functions.
Assist
with managing workload, capacity, and demand, including appointment systems,
staff rotas, and cover arrangements.
Lead
on complaints, with support from the office manager to resolve complaints,
feeding back to Practice Manager and leads with outcomes and working with the
practice team for reflective learning.
Lead
on premises and equipment, being the go-to person to support with queries and
arrange essential maintenance, repairs and annual servicing and calibration
needs
Support
HR processes, including recruitment, induction, training, appraisals, absence
management, and staff wellbeing initiatives.
Supporting
the Practice Manager and Finance Lead with financial and business functions,
including monitoring income and expenditure and supporting claims (e.g. QOF,
enhanced services)
Support
clinical governance and compliance activities, including CQC standards, policy
development, audits, and significant event reviews.
Supporting
IT manager with IT support and clinical systems (e.g. EMIS or SystmOne),
ensuring staff are appropriately trained and systems are used effectively.
Assist
in developing and implementing practice policies and protocols, ensuring they
are up to date and clearly communicated.
Build
and maintain positive relationships with patients, the practice team, the
Primary Care Network (PCN), local federation and external stakeholders.
