Job description

Job Title: Exams Officer ( Temporary with a view to permanent for the right person) Reports to: Senior Leadership Team / Data & Assessment Manager Location: East London Contract: Full time hours - ongoing Job Purpose The Exams Officer is responsible for the efficient and accurate administration, organisation, and management of all internal and external examinations within the school. This includes ensuring compliance with examination board regulations, coordinating exam timetables, managing invigilators, and supporting students and staff throughout the exams process. Key Responsibilities 1. Examination Administration • Plan, prepare, and manage all internal and external exam schedules. • Register candidates and submit entries to awarding bodies within deadlines. • Ensure compliance with JCQ and awarding body regulations at all times. • Manage special consideration and access arrangement processes in partnership with the SENCo. • Oversee secure storage and distribution of exam papers. 2. During the Examination Period • Organise exam rooms, seating plans, and invigilation schedules. • Brief invigilators and ensure correct exam procedures are followed. • Act as the main point of contact for exam-related queries from staff, students, and parents. • Supervise the conduct of exams to ensure integrity and fairness. • Respond promptly to any incidents, irregularities, or emergencies. 3. Post-Examination Duties • Coordinate the secure collection and dispatch of completed exam scripts. • Manage receipt and distribution of results to students and staff. • Support the administration of post-results services (appeals, reviews of marking, resits). • Produce exam analysis reports for leadership teams. 4. Invigilator Management • Recruit, train, supervise, and timetable exam invigilators. • Maintain records and authorise timesheets/payroll information. • Ensure all invigilators are up to date with safeguarding and exam regulations. 5. Compliance & Safeguarding • Maintain up-to-date knowledge of JCQ regulations. • Ensure exam arrangements meet statutory safeguarding and confidentiality standards. • Attend training and updates provided by exam boards or regulatory bodies. Person Specification Essential Skills & Experience • Strong organisational and administrative skills. • Excellent attention to detail and ability to meet strict deadlines. • Confident IT user (e.g., MIS systems, spreadsheets, online submission portals). • Ability to work under pressure during peak exam periods. • Strong communication skills, both written and verbal. • Ability to manage and motivate teams (particularly invigilators). • Experience working within a school or education environment. • Knowledge of JCQ regulations and UK examination systems. • Experience in data handling and analysis.
