Responsibilities
Complaints Management
Support the management and administration of patient
complaints and concerns received from patients, relatives, carers and
third-party organisations.
Acknowledge complaints verbally and in writing in a
timely and professional manner.
Support the investigation of complaints, including
gathering information and liaising with relevant colleagues.
Draft clear, accurate, and professional complaint
response letters for review by the Governance, Compliance and Risk Lead.
Maintain accurate records of complaints and outcomes in
line with ACF procedures.
Incident Management
Support the investigation and administration of
clinical and non-clinical incidents.
Maintain incident records accurately and
confidentially.
Support the monitoring and reporting of incidents,
trends and learning outcomes.
Assist in implementing actions arising from incident
investigations and lessons learned.
Governance, Compliance
and Risk
Provide administrative support for non-clinical
governance, compliance and risk management activities across the organisation.
Support the development, review, implementation and
administration of organisational policies, procedures and Standard Operating
Procedures (SOPs).
Support the creation, review, and maintenance of
organisational risk assessments and risk registers.
Help ensure compliance with relevant regulatory and
organisational requirements.
Health and Safety
Support the implementation and administration of health
and safety policies and procedures.
Assist with health and safety audits, inspections and
compliance monitoring activities.
Support the investigation and recording of health and
safety incidents and near misses.
Promote a positive health and safety culture across the
organisation.
Premises and
Facilities Support
Assist with premises management activities across a
multi-site organisation.
Support compliance activities relating to buildings,
facilities and workplace safety.
Liaise with internal teams and external contractors
where required to ensure premises-related issues are managed effectively.
Safeguarding and
Disclosure and Barring Service (DBS)
Complete safeguarding awareness training to the level
required for a non-clinical member of staff, within the agreed induction period
and keep this current through scheduled refresher training.
Maintain a working awareness of ACF's safeguarding
referral pathways, recognising when a concern should be escalated and to whom.
Support the administration of safeguarding records and
referrals as directed by the Governance, Compliance and Risk Lead, maintaining
strict confidentiality at all times.
General
Responsibilities
Maintain confidentiality and handle sensitive
information appropriately at all times.
Produce reports, correspondence and documentation to a
high professional standard.
Support governance meetings through agenda preparation,
minute-taking and action tracking where required.
Work closely with clinical and non-clinical staff,
patients, external agencies and contractors as the role requires.
Adhere to ACF policies, including information
governance, health and safety and equality and diversity.
Undertake any other duties commensurate with the grade
and purpose of the role.
