Job description

We are currently recruiting for a Facilities Administrator to support the day-to-day management of office facilities, with a particular focus on Health & Safety compliance and workplace standards. This will be a contract for 3-6 months with the possibility of a permanent role. 14-21 hours per week which can be worked across 2,3,4 or 5 days - this is a role that could work around other commitments such as school runs. This is an excellent opportunity for an organised and proactive administrator who enjoys ensuring a safe, compliant, and well-maintained working environment. Working closely with internal teams and external contractors, you will play a key role in supporting office operations and maintaining health and safety best practices. Key Responsibilities • Support the administration and coordination of office Health & Safety activities. • Maintain accurate Health & Safety documentation, records, and compliance logs. • Assist with workplace inspections, audits, and risk assessment administration. • Coordinate Health & Safety training records and monitor certification renewals. • Arrange contractor visits and ensure appropriate documentation is completed. • Manage accident, incident, and near-miss reporting processes. • Monitor fire safety checks, evacuation procedures, and emergency contact records. • Support facilities maintenance requests and liaise with suppliers and contractors. • Ensure office noticeboards, signage, and safety information remain up to date. • Assist with workstation assessments and workplace wellbeing initiatives. About You To be successful in this role, you will have: • Previous administration experience within a facilities, office management, or Health & Safety environment. • Strong organisational skills with excellent attention to detail. • Confidence managing records, reports, and compliance documentation. • Good communication skills and the ability to work with colleagues at all levels. • Proficiency in Microsoft Office, including Outlook, Word, and Excel. • The ability to manage multiple priorities and work independently. • Knowledge of workplace Health & Safety procedures would be advantageous.
