Legal Executive Assistant
• Location: Farringdon, London
• Job Type: Fixed-Term Contract (FTC)
• Working Hours: Monday to Friday, 9:00 AM to 5:30 PM (Hybrid flexibility)
• Salary: £40k - £45k
We are seeking an Executive Assistant to join the secretarial team of a full service law firm on a fixed-term basis to cover maternity leave. This role is crucial in providing high-quality secretarial support, primarily focusing on the Dispute Resolution team within our London office. The successful candidate will be part of a dynamic team, led by the Executive Assistant Team Lead, and will play a key role in the smooth operation of day-to-day activities.
Day-to-day of the role:
• Provide comprehensive secretarial support to fee earners within the Dispute Resolution team.
• Manage the opening of files and preparation of client care documentation, including AML and conflict checks.
• Draft, format, and amend legal documents, correspondence, and court forms such as witness statements and Notices of Change.
• Prepare, paginate, and finalise bundles and exhibits for court proceedings.
• Handle court filings through online portals and manage email communications.
• Support the billing process by raising invoices, processing payment requests, and monitoring disbursements.
• Assist in debt recovery efforts, including chasing outstanding payments and producing financial reports.
• Generate reports from Practice Evolve, including summaries of time recording.
• Conduct legal and factual research, obtaining necessary supporting documentation.
• Maintain accurate and confidential filing systems.
• Support the complaints handling process and ensure compliance with key deadlines.
• Assist with general office tasks such as printing, scanning, copying, and document collation.
• Utilise document management systems like DocuSign and Titanfile effectively.
Required Skills & Qualifications:
• 2–4 years of experience in a legal secretarial role within a contentious environment, ideally supporting Dispute Resolution or Litigation teams.
• Strong understanding of legal processes including AML, conflict checks, billing, and court procedures.
• Proven ability to support fee earners in a busy, transactional environment.
• Excellent skills in document formatting and a keen attention to detail.
• Strong organisational skills, capable of managing multiple tasks and meeting deadlines.
• Good working knowledge of legal systems such as Practice Evolve, DocuSign, Titanfile, and Infotrack.
• Clear and professional communication skills, both written and verbal.
• Proactive, adaptable, and team-focused approach.
• Ability to handle confidential information with discretion.
