Main duties and responsibilities include:
• Provide comprehensive administrative support to the Occupational Health team across a busy multi-site service.
• Manage appointment systems, clinic schedules, and diary coordination.
• Answer telephone and email enquiries professionally and sensitively, escalating issues where appropriate.
• Maintain accurate electronic and paper records in line with confidentiality and data protection requirements.
• Input and update information on relevant systems in a timely and accurate manner.
• Prepare standard letters, reports, and other routine correspondence.
• Coordinate and manage health surveillance and immunisation clinics, including the referral and booking of appointments, and support pre-employment screening administration.
• Liaise with staff, managers, and external organisations to facilitate effective communication and service delivery.
• Undertake general office duties including filing, scanning, photocopying, and ordering supplies.
About You
You will be an experienced administrator with excellent organisational skills, a keen eye for detail, and the ability to manage a varied workload. You will be confident using Microsoft Office and other electronic systems, and you will understand the importance of handling sensitive information with discretion. Experience of working in the NHS, healthcare, or an Occupational Health environment would be an advantage, but is not essential.
