Job description

Are you an organised office administrator who is looking to work for a well-regarded, highly reputable agency? Then, this could be your chance! Based in Harpenden, our client is particularly strong and active in the higher end of the property market and pride themselves on their enviable reputation. As the Office Administrator you will be supporting the team and helping with the ongoing growth of the department. This is a varied role where no two days are the same, therefore, our client requires someone who is self-motivated with the ability to demonstrate reliability and flexibility. To be considered, you will ideally have some previous experience working in an administration role within property and be able to provide a high level of service to clients at all times. Responsibilities will include: • Reception duties, including answering calls and greeting clients • Answering general emails and postal correspondence • Processing invoices for purchase order numbers on internal software • Managing the file archive storage and records • Managing health and safety as well as fire regulations within the office • Responsible for communicating with IT regarding issues/updates • Working closely with the handy man regarding general property and garden maintenance • Reporting any building repairs or faults to the facilities team • Chasing unpaid invoices for all office related bills and checking supplier invoices • Registering applicants and book viewings/market appraisals • Co-ordinating brochures suppliers and preparing brochures with excellent attention to detail • Co-ordinating marketing, direct mailers and advertising locally • Management of KYC and anti-money laundering processes as required by the Group, liaising with the internal on-boarding and compliance teams where necessary • Keeping window cards/brochure displays/office systems up to date • Where required, establish and maintain trusted relationships with our clients to facilitate and accelerate the on-boarding processes • Implementing strategies for continuous improvement of business processes and increased efficiency • Undertaking viewings on occasion. Personal specification: • Have previous experience in an administrative role, ideally within property • Take a proactive approach to administration, ensuring that where possible, efficiencies in processes are made • Ability to establish and maintain effective working relationships with colleagues at all levels • Exceptional organisational and co-ordination skills • Professional telephone manner • IT literate, Microsoft Office – Word (Intermediate), Excel (Basic), PowerPoint (Basic), Outlook (Advanced) • Positive attitude, reliable and dependable • Accurate and exceptional attention to detail. • Understands and appreciates the importance of using discretion when dealing with sensitive information. The company will pay up to £30,000 for this office administrator role.
