Operational Scheduler & Administrator Newtownabbey, Belfast | £30,000 to £40000 DOE | Full-Time, Permanent Specialist engineering & technical services provider Unfortunately, visa sponsorship is not available with this employer A highly organised operational and administrative role at the centre of a specialist technical services business. This is not a sales role. It’s a hands-on operations, administration and coordination position supporting engineers, customers, and the wider business. You’ll become the operational hub of a small, technical team, managing scheduling, invoicing, reporting, KPIs, documentation, and day-to-day office activity. The business is a recently acquired calibration provider serving industrial and regulated manufacturing customers across Northern Ireland. With a small team of field engineers, a bookkeeper, and the owner still involved, this is a tight-knit environment where structure, organisation, and responsiveness make a huge difference. The new owners intend to retain the technical expertise while strengthening operations and preparing the business for future growth. This role is central to that transition. The Role A varied, detail-driven position combining customer coordination, scheduling, administration, and operational support: • Acting as the main point of contact for customer communication • Scheduling engineers and managing job workflows • Producing quotations and supporting invoicing • Reviewing engineer reports for accuracy and formatting • Tracking KPIs and maintaining operational records • Supporting quality administration and ISO audit preparation • Coordinating purchase orders, logistics, and equipment needs • Keeping the office running smoothly and supporting day-to-day operations You’ll work closely with engineers, the owner, and the owning group's wider operational team to ensure the business runs efficiently and customers receive excellent service. What You Need Essential: • Degree educated • Excellent organisational skills and strong attention to detail • Positive, proactive attitude with a sense of ownership • Comfortable working in a very small team • Strong Microsoft Office skills (Excel especially) • 1–4 years’ experience in administration, operations, customer support, or similar • Self-motivated and able to manage multiple tasks independently • Permanent right to work in the UK Ideal / Advantageous: • Experience with scheduling, customer support and coordination • Any exposure to quality system administration or ISO environments would be an advantage • Experience in invoicing and quotation processes • Someone who enjoys improving processes and making things run better What Success Looks Like • Engineers are scheduled efficiently with minimal disruption • Customers receive fast, clear communication • Reports are accurate, complete, and delivered on time • Invoices and quotations are correct and consistent • KPIs are tracked and reported reliably • ISO audits are passed • The operation runs smoothly without repeated follow-up Why This Role Stands Out • A genuine opportunity to grow with a rapidly expanding organisation • High visibility within a small, specialist technical business • Broad operational exposure, scheduling, invoicing, reporting, quality, logistics • A role with real ownership and autonomy • Support from the wider international operational structure as the business scales Interested?
