Key Responsibilities
1. Administration & Governance
• Maintain and update Partnership Agreements (Equity Partner & FSP)
• Develop, review, and maintain:
• Practice Business Continuity Plan
• Practice Business Plan and strategic objectives
• Manage key administrative processes including:
• Retiring Partner procedures
• Monitoring and actioning general email communications
• Maintain PCN Limited Company records (as PCN Lead, with Company Secretary support)
• Ensure locum insurance is updated in line with workforce changes
• Prepare documentation and reports for governance meetings
• Attend and minute bi-monthly Operational Equity Partners meetings
• Attend weekly Senior Management Team (SMT) and core team meetings
• Complete and submit PCN ARRS Workforce Planning Template
2. Project & Service Development
• Identify, develop, and deliver business cases for new initiatives
• Lead and support project cost modelling (with Financial Controller)
• Act as Practice Lead/Key Contact for key projects (e.g. Training Hub, Outreach Services, Clinics)
• Oversee and support delivery of:
• Community Clinics
• Group consultations and training initiatives
• Outreach health programmes
• Manage and support contracts including:
• Sexual Health services
• Private care home agreements
• Third-party service providers
3. Stakeholder Engagement & Representation
• Act as a key representative for the Practice and PCN
• Serve as main contact for external organisations including:
• Integrated Care Board (ICB)
• Local Medical Committee (LMC)
• Partner organisations and alliances
• Build and maintain strong networks (ICB, PPG, Healthwatch, other practices)
• Represent the Practice at external meetings, events, and forums
• Act as a communication link between Partners and key stakeholders
4. Support to Practice Managers as they:
• Oversee premises-related matters, including liaison with landlords and estates providers
• Maintain and update Practice website and patient-facing materials
• Ensure compliance with NHS and contractual requirements
5. Financial & Contractual Oversight (with Financial Controller)
• Collaborate on project financial planning and cost modelling
• Participate in workforce and pay planning
• Support annual financial and contractual processes, including:
• CQRS contract acceptance and QOF declarations
• Insurance reviews (Practice, PCN, Employers Liability, Key Person, Locum)
• Software and supplier contract reviews
• Maintain relationships with banking partners and financial service providers
• Support PCN pension scheme access and compliance
• Liaise with PCN Company Secretary
6. Digital & Performance Support
• Work with Digital & Transformation (D&T) Lead to ensure compliance and reporting
• Oversee submission of Extended Access data via Primary Care Dashboard
