Job description

Planner • Annual Salary: To be discussed • Location: To be confirmed • Job Type: Full-time • Hours: Monday – Friday, 8am – 5pm Join our Gas Installation Department as a full-time Gas Installation Coordinator. This role is crucial for maintaining high levels of control, monitoring, and consistency of focus on performance within the department. You will support the existing team and manage daily tasks including the management of allocated engineers, timesheets, ordering, and all relevant paperwork. Full training will be provided. Day-to-day of the role: • Communicate directly with agencies and subcontractors via phone and email, particularly concerning subcontractor timesheets. • Ensure all works issued have the necessary information and materials ordered to complete the job on the first visit. • Raise orders for subcontractors and approve timesheets. • Process timesheets for payment and coordinate with the accounts department for payment processing. • Approve and process scaffolding invoices, ensuring all relevant information is provided before passing them to accounts. • Maintain and update the in-house scaffold register and send it to the client on a monthly basis. • Register new installed gas appliances on various portals. • Prepare packs for invoicing and process purchase orders for future jobs as well as in-day orders. • Update the planned work list weekly and communicate it to clients. • Manage outstanding purchase orders recorded on your log. • Check engineers’ diaries and communicate the following day's job numbers to suppliers. • Handle emails related to orders and materials efficiently. • Perform any other reasonable management requests and support the installations department with ad hoc duties. Required Skills & Qualifications: • Strong organizational and time management skills. • Excellent communication skills, both verbal and written. • Ability to work independently and as part of a team. • Proficiency in handling administrative duties and paperwork. • Experience in a coordination or administrative role is preferred. • Familiarity with the gas installation industry is advantageous but not required.
