• Act as a first point of contact for programme-related queries, ensuring they are dealt with in a professional and timely manner.
• Provide day-to-day administrative and coordination support across the programme portfolio to ensure activities are delivered effectively and on time.
• Provide comprehensive administrative support to Executive Peer Group Chairs, including scheduling meetings, distributing agendas, preparing meeting papers, taking accurate minutes, maintaining action logs, and following up on agreed actions.
• Coordinate meeting logistics, including booking venues or virtual meetings, managing attendee lists and circulating meeting documentation.
• Build and maintain positive working relationships with Executive Peer Group Chairs, members and stakeholders across NHS Wales.
• Proactively contribute membership insight to the wider Welsh NHS Confederation team, including for the Annual Conference and events programme and communications and influencing programme.
• Undertake regular updating and maintenance of records as well as distribution lists.
• Responsible for enabling work to be delivered to agreed deadlines and highlighting to the Membership Engagement Manager any challenges to delivery in a timely manner.
• Managing the Engagement Teams shared mailbox, responding to inquiries, coordinating communications and ensuring emails are actioned or directed to the appropriate colleague.
• Any other duties considered appropriate.
