Title Receptionist
Location Warlingham Green Medical Practice
Accountable To Surgery Manager
Hours of Duty: Mondays 08:00-18:30, Tuesdays 08:00-13:00 and Thursdays 08:00-18:30
The Practice: We are Ten partners working from four premises
covering the areas of South Croydon, Selsdon, Sanderstead, Warlingham, Caterham,
Coulsdon and Whyteleafe.
This
practice believes in team effort and has worked very hard to build a team
feeling within the staff. The holder of
this position takes part in this team and interacts with all members of
staff. Attendance at Practice meeting is mandatory. The surgery has an open door policy. All staff are addressed by their first names, we feel this makes the surgery a more friendly and welcoming place to work.
The successful candidate will be part of a team who are responsible for the
smooth running of the surgery and reception area, to ensure the patients
receives the best possible service.
Duties include but are not limited to:
To greet patients upon arrival, deal with any queries and questions
they may have.
• To assist the doctors in all aspects of administrative duties in
connection with the smooth running of the reception and doctors areas of
the Practice.
• To investigate and appropriately deal with any non-medical problems
from patients and report to doctors where necessary.
• To answer all incoming telephone calls and take the appropriate
action thereon.
• To use the computer system to make and amend appointments as
necessary.
• To be a triage admin where by the GP views the patients triage message and then decides what kind of appointment they need. The admin person is responsible for getting those patients deemed urgent to be seen booked into an appointment that day as well as moving the incoming triage messages into the triage Doctors inbox ready for them to view and assess.
• To ensure that requests for visits and messages are accurately
recorded in the correct place within the EMIS clinical system and that
Practice protocols are adhered to.
• Process patient registrations if online registration is not possible or the person is a temporary resident in the area.
• Deal with prescription requests if prescribing clerk not available
• Process ultrasound results
• book appointments for patients into various clinics run at the surgery
• To accurately scan into EMIS patient records incoming post and
relevant test results, etc.
• Make bookings for ambulances, etc. as requested.
• To open the premises on arrival and close down the premises on
departure in an organised and methodical way to ensure the building and
its contents are safe and secure.
• To observe the Practice Health and Safety Policy and to consider
safety at all times.
• To keep
the working areas as neat and tidy as possible.
• To record all monies received according to Practice procedures.
• To complete all necessary forms accurately, and ensure adequate
stock levels of these forms.
• To attend meetings and training courses as appropriate.
• To ensure patient confidentiality is maintained at all times.
• To
be prepared to assist in any duty that may be necessary to ensure the smooth
running of the surgery.
