Our client is a well-established and rapidly growing business with an excellent reputation for delivering outstanding service. Due to continued growth, they are looking to recruit an experienced Scheduling Administrator to join their busy operations team.
This is a fast-paced role that would suit someone who thrives on organisation, problem-solving and ensuring engineers are in the right place at the right time.
The Role
As the Scheduling Administrator, you will play a vital role in coordinating engineers' diaries, managing workloads and ensuring customer jobs are completed efficiently. Working closely with engineers, customers and the wider operations team, you'll be responsible for keeping schedules running smoothly while providing first-class administrative support.
Key Responsibilities
• Schedule and coordinate engineers' daily diaries and appointments.
• Allocate jobs based on engineer location, availability, skills and priority.
• Monitor workloads and adjust schedules to maximise efficiency.
• Liaise with engineers throughout the day regarding job updates and changes.
• Communicate with customers to confirm appointments and provide updates.
• Handle incoming calls and emails professionally.
• Maintain accurate records within the company scheduling system.
• Produce reports and update spreadsheets where required.
• Assist with general office administration duties.
• Work closely with the operations team to ensure service level agreements are achieved.
• Resolve scheduling conflicts quickly and effectively.
Essential Skills & Experience
• Previous scheduling or planning experience is essential.
• Experience managing engineers' diaries or field-based staff.
• Strong organisational skills with the ability to prioritise a busy workload.
• Excellent communication skills, both written and verbal.
• Confident using Microsoft Office and scheduling/CRM systems.
• Ability to remain calm under pressure and adapt to changing priorities.
• High level of accuracy and attention to detail.
• A proactive and positive approach to work.
Desirable
• Experience within engineering, facilities management, maintenance, utilities or a service-based industry.
• Knowledge of route planning or job allocation software.
