Join an established team as an IFA Administrator, where you will provide crucial administrative support to financial advisers, ensuring top-notch client service, meticulous record-keeping, and adherence to regulatory standards. This role is ideal for someone with a keen eye for detail and a strong background in administrative tasks within the financial sector.
Day-to-day of the role:
• Client Administration:
• Prepare client documentation and suitability report packs.
• Process new business applications for investments, pensions, protection, and savings products.
• Manage client records and maintain CRM systems.
• Handle client correspondence via email, telephone, and post.
• Schedule client meetings and prepare meeting packs.
• Provider and Product Liaison:
• Contact pension, investment, and insurance providers for information and updates.
• Obtain valuations, policy information, and fund details.
• Track outstanding business and follow up on applications.
• Compliance and Regulation:
• Ensure client files meet FCA and company compliance standards.
• Complete anti-money laundering (AML) and Know Your Customer (KYC) checks.
• Maintain accurate audit trails and client documentation.
• Support advisers during compliance reviews and audits.
• Business Processing:
• Process pension transfers, investment applications, withdrawals, and fund switches.
• Monitor pipeline business and provide progress updates.
• Resolve administration issues with providers and clients.
• Client Service:
• Respond to client queries professionally and promptly.
• Build strong relationships with clients and providers.
• Support ongoing client review processes.
Required Skills & Qualifications:
• Essential:
• Previous IFA administration experience.
• Strong attention to detail and accuracy.
• Excellent communication and organisational skills.
• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Ability to manage multiple tasks and deadlines.
• Knowledge of pensions, investments, and protection products.
• Familiarity with FCA regulations.
• Experience using systems such as Intelligent Office, XPLAN, Adviser Office, or Dynamic Planner.
