Client AdministratorLocation: Elstree, Hertfordshire
Job Type: Full-Time, Office Based
Hours: Monday to Friday, 9:00am – 5:00pm
About the RoleWe are looking for a proactive and organised Client Administrator to join a busy financial planning team, supporting Financial Advisers in delivering an outstanding client experience.
This is a varied role combining administration, client communication and basic paraplanning support. You'll play a key part in ensuring the advice process runs smoothly while building strong relationships with clients through excellent customer service.
Key ResponsibilitiesClient Support
• Prepare documentation and meeting packs for client meetings.
• Process new business, client onboarding and ongoing administration.
• Liaise with product providers regarding investments, pensions and protection policies.
• Monitor and progress client cases from submission through to completion.
Client Communication
• Confidently make outbound calls to clients to arrange annual review meetings.
• Contact clients to obtain outstanding information and documentation.
• Follow up with prospective clients where appropriate.
• Respond to client enquiries professionally, delivering excellent customer service.
• Manage adviser diaries and schedule client appointments.
Compliance & Administration
• Maintain accurate client records and update CRM systems.
• Ensure all work complies with FCA regulations and internal compliance procedures.
• Support Consumer Duty requirements and attend relevant compliance training.
Basic Paraplanning Support
• Prepare annual review and fund switch reports.
• Assist with new investment and pension cases, including regular contributions and lump sum investments.
Team Support
• Provide administrative support to colleagues as required.
• Assist with training new team members and contribute to continuous process improvements.
Skills & ExperienceEssential
• Previous experience in an administrative role, ideally within Financial Services.
• Excellent telephone and communication skills with confidence making outbound calls.
• Strong organisational skills and exceptional attention to detail.
• Outstanding customer service skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office and CRM systems.
Desirable
• Previous experience within Financial Planning or Wealth Management.
• Knowledge of pensions, investments and FCA regulations.
• Experience using financial planning or back-office systems.
