• Process all incoming clinical correspondence, including hospital letters, clinic reports, discharge summaries and diagnostic results, ensuring they are managed accurately and within agreed timescales.
• Review clinical correspondence and accurately code relevant clinical information onto patients' electronic medical records in accordance with practice protocols and national coding guidance.
• Identify actions required from incoming correspondence and forward documents, tasks or requests to the appropriate GP, clinician or member of the practice team for review or action.
• Maintain accurate, complete and up-to-date electronic patient records, ensuring all information is entered correctly and consistently.
• Prioritise workload effectively to ensure workflow tasks are completed within agreed turnaround times, highlighting any potential delays to the Workflow Lead or management team.
• Recognise urgent or clinically significant information and escalate immediately to the appropriate clinician in line with practice policies to support patient safety.
• Liaise with clinicians and colleagues where clarification is required to ensure correspondence is processed correctly and efficiently.
• Support the administrative team with general office duties when required, including scanning, filing, processing registrations, deductions and other administrative tasks to support service delivery.
• Maintain strict confidentiality at all times, ensuring compliance with GDPR, Information Governance requirements, Caldicott Principles and practice policies.
• Work collaboratively with the wider practice team to support the smooth running of workflow processes, sharing knowledge and contributing to continuous service improvement.
• Participate in team meetings, monthly QUEST training sessions, mandatory training, appraisals and quality improvement initiatives, keeping knowledge and skills up to date.
• Contribute to maintaining a positive, professional and patient-focused working environment, demonstrating flexibility to meet the changing needs of the practice.
• Undertake any other duties that are appropriate to the role and commensurate with the level of responsibility, as requested by the Practice Manager or Operations Manager.
