Job Overview
We are looking for a Customer Service Administrator to join our office based in Trafford Park, Manchester. As a member of our team, you will be expected to provide excellent customer service while managing a high volume of customer orders, enquiries, and administrative tasks. As this is a busy customer-facing role, the successful candidate will regularly deal with customer complaints, difficult conversations, and high-pressure situations. The ability to remain calm, professional, resilient, and solution-focused when handling challenging customer interactions is essential.
Responsibilities
• Process, track, and enter customer orders accurately in the database.
• Ensure timely processing of high-volume orders, troubleshooting any delays.
• Complete administrative tasks related to sales orders, including ERP system processing and invoicing details.
• Handle sales inquiries and provide customer service via telephone.
• Interact with customers regarding order updates, shipments, and deliveries.
• Create and send quotations and agreements in line with pricing policies, ensuring proper follow-up.
• Work with internal teams (Finance, Warehouse, After Sales) to resolve order issues, complaints, and late payments.
• Troubleshoot using the database, email, and internal communication channels.
• Process manual payments.
• Ensure compliance with company policies regarding order processing and invoicing.
Experience
• Resilient and emotionally composed, with the ability to remain calm, professional, and solution-focused when dealing with dissatisfied customers, complaints, and challenging conversations.
• Excellent communication and interpersonal skills, both over the phone and in writing.
• Able to remain calm, resilient, and professional when working under pressure in a fast-paced environment.
• Strong problem-solving skills with the ability to take ownership of customer issues through to resolution.
• Comfortable making and receiving a high volume of telephone calls.
• Competent in Microsoft Office applications, particularly Outlook, Excel, and Word.
• Experience using ERP, CRM, or order management systems would be advantageous.
• Strong attention to detail and a high level of accuracy when processing orders and customer information.
• Excellent organisational and time management skills, with the ability to prioritise a busy workload.
• A positive, team-focused attitude with the ability to collaborate effectively across departments.
• Flexible and adaptable, with a willingness to learn new systems and processes.

Working hours are Monday to Friday 8.30am to 5.00pm.
Salary is depending on experience.
