Job PurposeTo provide a professional, efficient and courteous reception and administrative service to patients, visitors and members of the primary healthcare team. As the first point of contact for the practice, the GP Receptionist will ensure that patients receive a high standard of customer service while supporting the smooth day-to-day running of the practice.
Main Duties and ResponsibilitiesReception Duties
•
Welcome patients and visitors in a professional, friendly and courteous manner.
•
Answer incoming telephone calls promptly and deal with enquiries appropriately.
•
Book, amend and cancel patient appointments in accordance with practice protocols.
•
Signpost patients to the most appropriate healthcare professional or service.
•
Register new patients and update patient records accurately.
•
Manage the flow of patients within the reception area and waiting room.
•
Respond to patient queries both in person and electronically.
Administrative Duties
•
Process repeat prescription requests in accordance with practice procedures.
•
Scan and accurately code incoming correspondence where appropriate.
•
File and retrieve patient records as required.
•
Process referrals, correspondence and clinical documentation as directed.
•
Ensure all patient information is recorded accurately using the clinical system.
•
Support clinicians and the wider practice team with administrative tasks.
•
Monitor practice email inboxes and action requests appropriately.
•
Assist with outgoing correspondence, reports and general office administration.
Clinical System
•
Use EMIS Web (or other clinical systems) to manage appointments, patient records and administrative tasks.
•
Maintain accurate and up-to-date patient information.
•
Follow practice procedures for data quality and record management.
Customer Service
•
Provide excellent customer service to all patients and visitors.
•
Deal with difficult or distressed patients calmly and professionally.
•
Maintain patient confidentiality at all times.
•
Promote equality, dignity and respect in every interaction.
Health and Safety
•
Follow all practice health and safety policies and procedures.
•
Report accidents, incidents and hazards promptly.
•
Assist in maintaining a safe and tidy working environment.
Information Governance
•
Comply with the UK GDPR, Data Protection Act and practice confidentiality policies.
•
Maintain strict confidentiality regarding patient and practice information.
•
Complete mandatory Information Governance training.
Team Working
•
Work collaboratively with GPs, nurses, healthcare assistants and administrative colleagues.
•
Participate in team meetings and practice training sessions.
•
Provide cover for colleagues during periods of annual leave or sickness where required.
•
Contribute to the continuous improvement of practice services.
Professional Development
•
Participate in annual appraisals and mandatory training.
•
Undertake additional training relevant to the role.
•
Maintain an up-to-date knowledge of practice procedures and NHS guidance.
General Responsibilities
•
Demonstrate professionalism, integrity and accountability at all times.
•
Promote the values and objectives of Becontree Medical Centre.
•
Undertake any other duties appropriate to the grade of the post as reasonably requested by the Practice Manager.
