Job SummaryThe Medical Receptionist is the first point of contact for patients and visitors attending Bigham Road Medical Centre. The post holder will provide a professional, friendly and efficient reception and administrative service, ensuring patients receive a high standard of customer care while supporting the smooth day-to-day running of the practice.
The successful candidate will work as part of a small, supportive team and will be expected to maintain confidentiality, communicate effectively and work flexibly to meet the needs of the practice.
Main Duties and Responsibilities
• Welcome patients and visitors in a courteous, professional and friendly manner.
• Answer incoming telephone calls promptly and deal with enquiries appropriately.
• Book, amend and cancel patient appointments using the clinical system.
• Register new patients and update patient records accurately.
• Process repeat prescription requests in accordance with practice procedures.
• Scan, file and distribute incoming correspondence and clinical documents.
• Receive, record and distribute incoming mail.
• Signpost patients to the appropriate clinician or service where appropriate.
• Take messages accurately and ensure they are passed to the relevant member of staff.
• Handle confidential patient information in accordance with GDPR, NHS guidance and practice policies.
• Maintain a clean, tidy and welcoming reception area.
• Support clinicians and colleagues with administrative tasks as required.
• Participate in team meetings and mandatory training.
• Undertake any other reasonable duties appropriate to the role, as requested by the Practice Manager.
CommunicationThe post holder will:
• Communicate effectively with patients, relatives, carers and visitors.
• Develop positive working relationships with colleagues and members of the wider Primary Care Network.
• Deal with enquiries professionally, sensitively and confidentially.
• Escalate concerns or issues to the Practice Manager where appropriate.
ConfidentialityThe post holder must maintain strict confidentiality at all times regarding patient information and practice business, in accordance with GDPR, NHS guidance and practice policies.
Health and SafetyThe post holder is responsible for:
• Working safely and following practice health and safety policies.
• Reporting hazards, incidents or accidents promptly.
• Taking reasonable care of their own health and safety and that of colleagues and patients.

Training and DevelopmentThe successful candidate will participate in mandatory training, practice meetings and any additional training required to carry out the role effectively. Opportunities for ongoing learning and development will be supported where appropriate.
Working PatternThis is a 30-hour per week position worked on a rota basis between 7:45am and 6:30pm, Monday to Friday. Flexibility to work across these hours is essential. There is no weekend working.
