• Providing a professional, friendly and empathetic reception service, acting as the first point of contact for patients, visitors and healthcare professionals.
• Greeting patients, responding to enquiries and directing them to the appropriate service or member of staff.
• Answering telephone calls promptly and courteously, managing patient enquiries and accurately recording messages where appropriate.
• Booking, cancelling and amending patient appointments in accordance with practice policies and procedures.
• Registering new patients and updating patient demographic information to ensure electronic records remain accurate and up to date.
• Processing patient referrals and supporting the coordination of appointments with GPs, nurses and the wider multidisciplinary team.
• Managing incoming and outgoing communications, including emails, Accurx requests and Total Triage submissions, ensuring these are actioned efficiently and within agreed timescales.
• Scanning, processing and accurately filing clinical and administrative documents onto patients' electronic medical records.
• Maintaining the reception and waiting areas to ensure they are clean, tidy, welcoming and well organised.
• Handling confidential patient information in accordance with GDPR, NHS confidentiality requirements and practice policies.
• Undertaking general administrative duties, including filing, document management, record keeping and other office tasks as required.
• Working collaboratively with doctors, nurses, administrative colleagues and other healthcare professionals to support the efficient day-to-day running of the practice.
• Following all practice policies, procedures, health and safety requirements, and infection prevention and control guidelines.
• Contributing to a positive team environment and providing support to colleagues as required.
• Undertaking any other reasonable duties appropriate to the role, as requested by the Practice Management Team.
