Job description

We're looking for an organised and detail-oriented Payroll Coordinator to take ownership of payroll administration and reporting for approximately 100 employees. Working closely with our outsourced payroll provider, you'll play a key role in ensuring payroll is processed accurately, efficiently, and on time while providing excellent support to employees and managers. This role is ideal for someone who enjoys working with data, spreadsheets, and process improvement. You'll be responsible for payroll preparation, validation, reporting, reconciliations, and ensuring payroll information is maintained to a high standard. Strong Excel skills are essential, as you'll be using data analysis and reporting to support payroll accuracy and business decision-making. Key Responsibilities • Coordinate the end-to-end monthly payroll process with our external payroll provider. • Prepare, validate and submit payroll data, ensuring accuracy and compliance with agreed deadlines. • Calculate and check payroll adjustments, including starters, leavers, salary changes, bonuses, commissions, holiday pay and deductions. • Investigate and resolve payroll queries from employees and managers in a timely manner. • Maintain accurate payroll records and employee data within BambooHR and other systems. • Perform payroll reconciliations and validation checks to ensure payroll accuracy. • Produce regular payroll reports, dashboards and data analysis using Excel. • Analyse payroll trends, identify discrepancies and recommend improvements. • Develop and maintain payroll procedures, process documentation and user guides. • Partner with Finance, managers and the payroll provider to ensure payroll deadlines and compliance requirements are met. • Support continuous improvement initiatives to increase payroll efficiency, accuracy and reporting capability. • Provide occasional administrative support relating to employee records and people operations as required. About You • Proven experience in a Payroll Coordinator, Payroll Administrator or Payroll Officer role. • Experience working with an outsourced payroll provider. • Strong understanding of payroll processes, controls and data management. • Advanced Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS, data validation, reporting and data analysis. • Comfortable working with large data sets and identifying trends, discrepancies and opportunities for improvement. • Experience using BambooHR or similar HR/payroll systems is highly desirable. • Exceptional attention to detail and commitment to accuracy. • Strong organisational skills with the ability to manage multiple deadlines. • Process-oriented mindset with a focus on continuous improvement. • Excellent communication and stakeholder management skills.
