Pre-Tenancy Administrator
Location: SE12
Salary: £30,000 per annum
Hours: Monday to Friday, 8:30am – 6:00pm
About the Role- Pre-Tenancy Administrator
Our client is seeking an organised, proactive and customer-focused Pre-Tenancy Administrator to join their busy lettings team based at their SE12 Office. The successful candidate will play a vital role in ensuring a smooth and efficient tenancy progression process, acting as the key point of contact between landlords, tenants and internal departments from offer agreed through to move-in.
This role requires excellent attention to detail, strong communication skills and the ability to manage multiple tasks within a fast-paced environment.
Key Responsibilities of Pre-Tenancy Administrator
• Managing the tenancy progression process from offer acceptance through to move-in.
• Conducting comprehensive tenant referencing and right-to-rent checks.
• Liaising with applicants, employers, landlords and referencing providers to obtain required documentation.
• Preparing and issuing tenancy agreements and associated tenancy documentation.
• Chasing and collecting move-in monies, including deposits and first month’s rent.
• Ensuring all compliance requirements are completed accurately and within required timescales.
• Building and maintaining positive relationships with landlords and tenants throughout the tenancy setup process.
• Providing regular updates to all parties and managing expectations effectively.
• Coordinating move-in dates and ensuring all documentation is completed prior to occupation.
• Maintaining accurate records and updating internal CRM and property management systems.
• Working closely with negotiators, property managers and other departments to ensure a seamless customer experience.
• Handling telephone and email enquiries professionally and efficiently.
• Assisting with general administrative duties as required.
Skills & Experience for Pre-Tenancy Administrator
Essential
• Previous administration experience, ideally within lettings, property, estate agency or a customer service environment.
• Excellent organisational and time management skills.
• Strong written and verbal communication skills.
• High level of accuracy and attention to detail.
• Ability to prioritise workload and work effectively under pressure.
• Strong customer service skills and a professional telephone manner.
• Competent in Microsoft Office applications including Word, Excel and Outlook.
• Ability to build rapport with landlords, tenants and colleagues.
Desirable
• Previous experience conducting tenant referencing and tenancy progression.
• Knowledge of lettings legislation and compliance requirements.
• Experience using property management or CRM software.
