Location: Fully Onsite
Hours: Monday–Friday, 8:00am–5:00pm
Contract: Full-Time, 9-Month Fixed-Term Contract
I'm recruiting for a highly organised and proactive Operations Administrator to join a growing business. This varied role combines accounts, office administration, fleet coordination, site support, and executive assistance, making it ideal for someone who enjoys a fast-paced environment and being involved in all areas of a business.
Working closely with the Director and project teams, you'll play a key role in keeping daily operations running smoothly while supporting both business and financial processes. This is a fully onsite position and does not offer remote working.
Office Administration
• Managing holiday and sickness records
• Coordinating office utilities and services
• Arranging staff training and meetings
• Completing Pre-Qualification Questionnaires (PQQs)
Accounts & Finance
• Processing supplier and client invoices
• Credit control and chasing outstanding payments
• Managing timesheets and expenses
• Bank, statement and CIS reconciliations
• Preparing VAT return information
• Resolving invoice queries and producing reports
• Supporting payment applications and accountant reporting through Xero
Fleet & Administration
• Coordinating vehicle and plant hire
• Arranging MOTs, servicing, repairs and maintenance
• Ensuring fleet compliance, insurance and charge accounts remain up to date
Site Support
• Obtaining quotations and placing supplier orders
• Coordinating plant, equipment and labour requirements
• Arranging travel, accommodation and site logistics
• Supporting site setup documentation and purchase orders
Executive Support
Providing administrative support to the Director, including:
• Diary and appointment management
• Travel and hotel bookings
• Meeting coordination via Teams
• Minute-taking and action tracking
About You
• Previous accounts and administration experience
• Strong organisation and attention to detail
• Excellent written and verbal communication skills
• Experience using Xero or similar accounting software
• Good Microsoft Office skills, particularly Excel
• Ability to manage multiple priorities and work independently
• Proactive, flexible and willing to support across the business
