Personal AssistantRates: £192.30/day PAYE (flat rate) or £261/day via umbrella
Location: London
The contract length is 3rd August 2026 to 4th Sept 2026. Hours per Week: 37.5.
Job Purpose
Provide high-level administrative, organisational, and operational support to senior leadership, enabling them to focus on strategic priorities. Manage day-to-day executive support activities, ensure the smooth running of the department, and act on behalf of the executive within agreed areas of responsibility.
Key Responsibilities
• Manage complex calendars, meetings, and priorities across multiple time zones.
• Serve as the primary point of contact for the leadership team, responding to enquiries and coordinating requests.
• Arrange domestic and international travel, including flights, accommodation, visas (where applicable), and detailed itineraries.
• Process travel expenses in accordance with company policy.
• Raise purchase orders and process invoices in line with company procedures.
• Coordinate meeting logistics, including video conferencing and virtual meeting technology.
• Handle office administration, including IT and facilities requests.
• Prepare, format, and distribute presentations, reports, meeting papers, and other business documents.
• Organise internal events, leadership meetings, town halls, and team activities.
• Support departmental projects and provide administrative assistance to other team members as required.
• Exercise sound judgement when acting on behalf of the executive within delegated authority.
Skills & Experience
Essential
• Previous experience supporting senior executives or leadership teams as an Executive Assistant or Personal Assistant.
• Excellent organisational skills with the ability to manage multiple priorities and changing deadlines.
• Strong diary management experience, including coordinating across different time zones.
• Proficient in Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
• Experience using travel and expense management systems (e.g. Concur or similar).
• Experience using virtual meeting platforms such as Microsoft Teams, Zoom, Webex, or similar.
• Excellent written and verbal communication skills with exceptional attention to detail.
• Ability to handle confidential information with discretion, professionalism, and integrity.
• Strong problem-solving skills with a proactive, solutions-focused approach.
• Ability to remain calm under pressure and adapt quickly to changing priorities.
