Job description

Are you experienced Receptionist / Administrator seeking a new role? Look no further! Overview: We are seeking a proactive and professional Receptionist to join a professional services company on a contract basis for 13 months. This role is integral to the smooth running of daily operations and provides essential administrative and front-of-house support. You will be part of a collaborative Business Support team, dedicated to delivering exceptional service and maintaining strong client relationships. Key Responsibilities: • Deliver daily front-of-house and reception services for guests and team members • Welcome clients and prepare refreshments • Maintain a log of all visitors • Coordinate and arrange client meetings • Book meeting rooms across multiple office locations • Assist with appointment scheduling for team members • Liaise with clients regarding documentation and queries • Handle incoming calls efficiently and professionally • Provide administrative support across departments • File, scan, and archive client correspondence • Ensure quality and accuracy of stored files • Track books, records, and client collection items, including obtaining signatures • Perform general typing tasks, including email drafting, document formatting, and data entry • Manage incoming and outgoing post, including sorting, date-stamping, and scanning • Act as the main point of contact for a satellite office, including printing and posting • Maintain cleanliness and order in reception and meeting areas • Keep internal telephone lists updated • Handle sensitive information with discretion Why You? • Friendly and approachable with a positive, can-do attitude • Highly motivated and detail-oriented • Excellent written and verbal communication skills • Proactive team player with strong time management and problem-solving skills • Proficient in Microsoft Office and adaptable to new systems • Previous experience in a similar administrative role is essential • Experience in professional services is desirable but not required What's in it for you?
