Trainee IFA Administrator
Location: Bury
Salary: £25,500 - £27,000
Full-Time | Permanent
Are you an organised and client-focused administrator looking to build your career within financial services? We're looking for a Trainee IFA Administrator to join a friendly and professional team, providing vital support to Financial Advisers while delivering an outstanding experience for clients.
This is an excellent opportunity for someone with previous administration experience, ideally within financial services or another regulated environment, who enjoys working in a varied role where attention to detail and excellent customer service are key.
The Role
As a Client Relationship Support Administrator, you'll play an important part in ensuring clients receive a seamless service throughout their financial planning journey. From preparing review meetings and maintaining client records to managing enquiries and supporting day-to-day office operations, you'll be a valued member of a collaborative team.
Key Responsibilities
Client Review Support
• Prepare client review packs ahead of adviser meetings
• Coordinate and book client review appointments
• Distribute review schedules to advisers
Client Administration
• Process Letters of Authority (LOAs) and monitor provider responses
• Maintain accurate client records using the back-office system
• Input client fact-find information accurately and compliantly
• Ensure all client documentation is up to date and correctly recorded
Communication & Client Service
• Handle incoming telephone calls and email enquiries professionally
• Liaise with clients and providers, managing expectations and escalating issues where appropriate
• Welcome clients to the office and prepare meeting rooms with refreshments
Office & Administrative Support
• Manage incoming and outgoing post, ensuring documentation is logged and distributed correctly
• Order stationery and maintain office supplies
• Coordinate client birthday communications
• Support employee benefits administration, including invoices and membership information
• Assist with general office administration as required
About You
The successful candidate will have:
• Previous administration experience, ideally within financial services or another regulated environment
• Excellent organisational and time management skills
• Strong attention to detail and a high level of accuracy
• A professional and confidential approach when handling sensitive information
• Good Microsoft Office skills, including Word, Excel and Outlook
• Excellent communication and customer service skills
• A positive attitude with a willingness to learn new systems and processes
• A proactive, adaptable and team-oriented approach
