Executive Assistant
• Annual Salary: £39,000 initially, rising to £40,000 after 4 weeks
• Location: Remote (UK-Based), with minimum one day per week in Brighton
• Job Type: Full-Time, Permanent
An exciting opportunity has arisen for an Executive Assistant to join a successful and growing international construction company. This role provides dedicated support to the Construction Director and offers a chance to become a trusted right-hand person within a dynamic environment. The position is predominantly remote, providing excellent flexibility, with a requirement to attend the Brighton office for a minimum of one day per week.
Day-to-day of the role:
• Provide comprehensive support to the Construction Director, managing a busy and constantly changing diary.
• Schedule meetings, appointments, and project-related commitments, anticipating requirements and planning ahead to ensure maximum efficiency.
• Take ownership of tasks and make informed decisions independently.
• Manage executive and shared inboxes, prioritising correspondence and ensuring urgent matters are actioned promptly.
• Accurately input and maintain information within internal CRM systems, update project records, and manage digital filing systems.
• Coordinate travel and logistics, including booking flights, hotels, and transportation for the Director and remote site teams.
• Monitor subcontractor insurance records and ensure compliance documentation is up to date and correctly filed.
Required Skills & Qualifications:
• Previous administrative experience within the construction industry.
• Strong inbox and email management skills.
• Proficiency in using CRM systems and electronic filing systems.
• Excellent attention to detail and data entry accuracy.
• Strong organisational and time-management skills, with the ability to manage multiple priorities independently.
• Professional communication skills and a proactive approach.
Desirable Experience:
• Previous experience as an Executive Assistant or Personal Assistant.
• Experience supporting senior leadership or directors.
• Travel coordination and accommodation booking experience.
• Knowledge of contractor compliance and insurance administration.
